Montgomery County Public Records: Court, Deed, Property, Jail & Vital Records
Montgomery County public records are split between the County Clerk, District Clerk, Sheriff’s Office, Montgomery Central Appraisal District and Tax Office. Start with the record type you need instead of searching every county website.
This guide shows the correct official source, what to search by, and when you need an official or certified copy instead of an online result.
Which Montgomery County Office Has the Record?
Texas counties commonly divide records between a County Clerk and District Clerk. Montgomery County follows that pattern, so choosing the correct clerk matters before you begin searching.
| Record | Start here | Best search detail |
|---|---|---|
| County criminal, civil or probate case | Montgomery County Clerk | Case number or party name |
| District court case | Montgomery County District Clerk | Cause number or party name |
| Deed, mortgage, lien or recorded instrument | County Clerk Official Records | Grantor/grantee, document number or document type |
| Property owner, value or exemption | Montgomery Central Appraisal District | Property/account, owner or address |
| Property-tax balance or payment | Montgomery County Tax Office | Account number, CAD reference, owner or address |
| Current inmate | Montgomery County Corrections Public Access Portal | Legal name |
| Active warrant information | Montgomery County Warrant Search | Name or warrant number |
| Birth, death or marriage certificate | Montgomery County Clerk Vital Records | Name, event date, ID and eligibility information |
Search Montgomery County Court Records
The County Clerk’s Odyssey public-access system provides separate options for criminal records, civil and probate case records, and court calendars.
- Select Criminal Records or Civil & Probate Case Records.
- Search by case number when available.
- Otherwise use the party information supported by the portal.
- Confirm the case type and parties before relying on a match.
- Contact the County Clerk if you need an official or certified copy.
District court records use a different clerk
The Montgomery County District Clerk maintains records filed in the district courts. The District Clerk also provides a separate case-search route and Records & Research service.
- Choose Case Search for district-court research.
- Use the cause number when you already know it.
- Verify the defendant, plaintiff or other parties carefully.
- Use Records & Research when you need copies or additional record assistance.
Montgomery County Inmate and Warrant Searches
Montgomery County uses separate systems for current correctional information and warrant information. Do not use a warrant result as proof that someone is currently in jail.
Current inmate lookup
- Create or sign in to the public-access account when required.
- Search using the person’s legal name.
- Verify that the result belongs to the correct person.
- Use the court system separately when you need the filed case or disposition.
Active warrant search
The county’s public warrant search supports searches by name or warrant number.
- Choose name or warrant-number search.
- For a name search, enter the full last name and required first-name information.
- Compare the result carefully.
- Do not take action against another person based only on an online result.
Search Montgomery County Deeds, Liens and Official Records
The Montgomery County Clerk’s Official Records Search supports grantor/grantee names, subdivisions, document types and document numbers. It also offers both indexed searching and full-text OCR searching.
- Search by grantor/grantee when you know a party name.
- Use document number when you already have the recording reference.
- Narrow with a recorded-date range or document type when needed.
- Try full-text OCR search when an index-only search does not locate the document.
- Review the actual recorded document before relying only on an index entry.
County Clerk property-alert service
The Clerk also provides a property-alert registration service. It can help owners monitor newly recorded documents associated with registered criteria, but an alert service does not itself block a document from being recorded.
Search Montgomery County Property Records
Montgomery Central Appraisal District is the correct source for appraisal values, property characteristics, exemptions, ownership display and map-based parcel research.
- Select Property Search or Map Search.
- Search with the property/account information, owner or address available to you.
- Confirm the correct parcel and property location.
- Save the property/account information.
- Use the County Clerk Official Records search for the deed or other recorded instruments.
Search Montgomery County Property Tax Records
The Montgomery County Tax Office provides a separate tax database for accounts it collects. This is the correct system for balances and payment information, not for determining the appraised market value.
- Choose owner name, property address, account number or CAD reference number.
- Use the account number when you already have it.
- Open the matching property-tax account.
- Verify the year, property and balance before making a payment.
Montgomery County Vital Records
The Montgomery County Clerk handles qualifying birth, death and marriage certificate services. The Clerk now uses VitalDirector by Permitium as its approved online vendor for certified vital-record orders.
Birth certificates
The Clerk maintains long-form certificates for births within its Montgomery County registration district and can issue abstract birth certificates for most Texas births from 1926 to the present.
A local exception matters for Kingwood: the Clerk states that parts of Kingwood, including births at HCA Healthcare-Kingwood, are outside the Montgomery County registration district for long-form records. Those long-form records must be obtained from the City of Houston, although Montgomery County can provide an abstract version when available.
- Confirm whether you need a long-form or short-form certificate.
- Check that you qualify to request the record.
- Prepare acceptable government-issued identification.
- Choose in-person, online or mail ordering.
- For a mail request, follow the notarization and identification instructions exactly.
Death certificates
The Clerk states that Montgomery County death records from 1903 to the present are available for deaths recorded within the county registration district.
The same Kingwood boundary issue applies: deaths occurring in the HCA Healthcare-Kingwood area must be obtained from the City of Houston rather than the Montgomery County Clerk.
- Confirm that the death was recorded within the Clerk’s registration district.
- Check applicant eligibility.
- Prepare acceptable identification.
- Choose the current in-person, online or mail ordering route.
How to Request a Montgomery County Record
Do not send every public-information request to the same county office. Use the department that created or maintains the record.
| Record needed | Correct request route |
|---|---|
| County court or County Clerk record | Montgomery County Clerk |
| District court record | District Clerk Records & Research |
| Sheriff incident or offense record | Montgomery County Sheriff’s Office public-information process |
| Appraisal record or appraisal open-record request | Montgomery Central Appraisal District |
Sheriff public-information requests
The Sheriff’s public-information form asks for details such as case number, date of occurrence, incident type, location and involved parties. Supplying those details can help staff identify the correct record.
What to Do When a Montgomery County Search Fails
| Problem | Try next |
|---|---|
| No county court result | Check whether the case belongs to a district court instead. |
| No district court result | Use the cause number if known or simplify the party-name search. |
| Parcel found but deed missing | Move from MCAD to the County Clerk Official Records search. |
| Deed missing by name | Try grantor/grantee variations, document type, date range or OCR full-text search. |
| Tax account not found | Use the MCAD property/account information in the Tax Office search. |
| Warrant search shows a match | Verify through the proper authority before treating the online result as active. |
| Vital record from Kingwood cannot be issued | Check whether the event falls within the City of Houston registration area. |

Before You Rely on a Public Record
- Confirm the correct person, property, case and county.
- Do not treat an arrest, inmate entry or warrant result as proof of conviction.
- Use the recorded document when an appraisal index does not answer a title question.
- Respect confidential, sealed and legally restricted records.
- Request a certified copy when an official recipient requires one.
