Montgomery County Ohio Public Records: Court, Property, Deeds, Tax & Vital Records

Montgomery County public records are divided among several offices. Court cases are searched through the Clerk of Courts, deeds through the Recorder, property values through the Auditor, taxes through the Treasurer, marriage records through Probate Court, and birth or death certificates through Public Health.

Start with the record type you need. Using the correct office first is faster than searching the same name across unrelated county databases.

Independent guide: Public-Record.org is not Montgomery County or any government agency. We do not maintain or certify official records. Use the linked government systems for current records, fees and official copies.

Court cases

Search Montgomery County Ohio Court Records

The Montgomery County Clerk of Courts maintains Public Records Online, commonly called PRO. It covers public information for several Montgomery County court divisions.

The PRO system includes Traffic, Criminal and Civil cases filed in Montgomery County Municipal Court, Criminal and Civil cases filed in Common Pleas General Division, Domestic Relations cases and Second District Court of Appeals cases.

After opening Montgomery County Public Records Online (PRO):
  1. Accept the site’s public-record terms.
  2. Choose the appropriate court or case-search option.
  3. Use the case number when you have it.
  4. Otherwise search the party name carefully.
  5. Confirm the court division and case number before relying on the result.

Need copies of court documents?

The Clerk’s PRO site directs copy questions to its Records Section at 937-496-7762. A search result may help you identify the case, but an official purpose may require a Clerk-issued copy.

Common Pleas General Division

The Montgomery County Common Pleas Court General Division hears civil and criminal cases. The court is located at 41 N. Perry Street in Dayton and publishes court hours of Monday through Friday, 8:30 a.m.–4:30 p.m.

Criminal and arrest-related records

Criminal Cases, Arrest Records and Sheriff Records Are Different

If you need the court case after an arrest, use the Clerk of Courts PRO system. If you need a Sheriff’s Office public record, warrant-related information or another law-enforcement record maintained by the Sheriff, use the Sheriff’s records process.

You need Start here What to verify
Filed criminal case Clerk of Courts PRO Case number, charge, events and disposition
Sheriff public record Montgomery County Sheriff’s Office / county record routing Agency, report type and incident details
Court outcome Clerk / Common Pleas Court Disposition or final court entry
After opening the Montgomery County Public Records routing page:
  1. Select Arrest/Criminal Records & 9-1-1 Call Records when that matches your request.
  2. Follow the county’s route to the responsible office.
  3. Describe the report or record clearly.
  4. Include dates, names or incident information when known.
  5. Use the Clerk separately when you need the resulting court case.
Arrest is not conviction. A Sheriff’s record, arrest entry or allegation does not establish the final outcome of a criminal case. Check the Clerk’s court record for the filed case and disposition.
Auditor property records

Search Montgomery County Property Records

The Montgomery County Auditor’s Real Estate Tax Information site provides read-only property assessment and tax-record information. The search supports address, owner, parcel and advanced search options.

After opening the Montgomery County Auditor property search:
  1. Choose Search By Address, Owner or Parcel.
  2. Use parcel number when you already have it.
  3. Otherwise search the owner’s name or property address.
  4. Open the matching parcel and confirm the location.
  5. Save the parcel ID before checking taxes or recorded documents.

Need a map instead?

The Auditor also provides an interactive GIS parcel map. This can help when you know where a property is located but the exact database address or parcel number is unclear.

After opening the Montgomery County Auditor GIS page:
  1. Open the Interactive GIS Map.
  2. Navigate to the property location.
  3. Select the parcel.
  4. Confirm parcel and assessment information.
  5. Carry the parcel ID into the Treasurer or Recorder search.

Treasurer records

The Montgomery County Treasurer’s Real Estate Tax Information System allows searches by parcel ID, owner name or property address.

  1. Select the tax year.
  2. Complete only one main search field for cleaner results.
  3. Search by parcel, owner or property address.
  4. Click the matching Parcel ID in the results.
  5. Review the tax and payment information for that parcel.

Montgomery County search formatting matters

The Treasurer says all Montgomery County parcel numbers begin with a capital letter. For owner searches, use the format Last Name First Name.

For property-address searches, the Treasurer instructs users not to enter the street direction or street suffix in the street-name field. If a full address search fails, simplify it before assuming the parcel is missing.

Death-record distinction: Public Health bases death-certificate availability on where the death occurred, not the deceased person’s former home address.
Historical and genealogy records

Montgomery County Records Center & Archives

Montgomery County has a particularly useful historical records collection. The Records Center & Archives maintains older court, marriage, deed, probate, birth and death materials that may predate modern online systems.

Historical collection Coverage listed by county

City of Dayton births and deaths 1867–1908

Submit a Montgomery County Public Records Request

The county’s public-record page routes users by record type. This matters because birth records, marriage copies, divorce decrees, court cases, Sheriff’s records and general Board of County Commissioners records do not all go to the same custodian.

After opening the Montgomery County Public Record Request page:
  1. Select the record category that matches your request.
  2. Follow the route to the office responsible for that record.
  3. Describe the record with enough detail to identify it.
  4. Use a date range, case number, parcel or other identifier when available.
  5. Choose inspection, electronic copy or another available delivery method.

You normally do not have to identify yourself

Montgomery County’s public-record policy states that a requester generally does not have to make a request in writing, provide an identity or explain the intended use of the public record.

The request still must identify the records with enough clarity for the office to locate and review them.

General county copy charges

The county’s current records policy lists paper copies at $0.10 per page, compact-disc copies at $1 per disk, no charge for emailed documents, and actual postage and mailing-supply costs when records are mailed.

Ohio public records, not federal FOIA: requests to Montgomery County offices are governed by Ohio public-record law. Federal FOIA is not the law used to obtain records from an Ohio county office.

Responsible use

Before You Rely on a Montgomery County Public Record

  • Confirm the correct person, parcel, court case or recorded document.
  • Do not treat an arrest or allegation as proof of conviction.
  • Use the Recorder rather than the Auditor alone when a question depends on the recorded deed.
  • Check the correct historical archive when a modern online database does not cover the necessary year.
  • Request a certified copy when an official recipient requires one.
